PostHeaderIcon Setting up new company. I would like to set up payroll and IRS deductions on my own with out the middle man.?

I have started an S-corp. I plan to pay myself a set amount once a month for payroll. By the way…do I need to fill out a W-2 for myself? So each month from that set amount I will deduct the 7.65% and the Federal tax from my gross pay and cut a check for the net to myself. Then each month I will need to send the IRS (by automatic draft) payroll taxes (is this the 7.65 from the company or the 15.3 for both the company and myself? What form do I use?). Then quarterly I will pay est. Federal tax for the salary I receive. For this I can take a draw from the company but it must be paid through my personal account, not business account. I will need to keep accurate payroll records for which there is software available (Quickbooks, etc.). I just wanted to clarify that I have the correct understanding of payroll and taxes. I would really like not have to use a CPA for a 1-person business, except for the yearly taxes. I appreciate any words of wisdom.

PostHeaderIcon Does it make sense for your company to outsource payroll administration?

Outsourcing particular business tasks can enable you to free up resources and energy to focus on your core competencies. Payroll is an important function and in all likelihood it makes sense to outsource payroll administration rather than hire resources in-house and dedicate them solely to the function. Payroll companies help you organize your payroll, adhere to policies and procedures, and get employees paid on time.

To stay on top of your tax obligations is reason enough for your company to consider using a payroll provider. Payroll administration warrants attention to detail and even the smallest indiscretion can attract heavy penalties from the tax authority of your country. In the US, the IRS has a history of levying heavy fines on small businesses for even the smallest transgression. Recently released statistics show that one out of every three small businesses is penalized in some way for not complying with tax laws.

Why should you outsource payroll processing?

If you company is large enough, you may choose to conduct payroll functions in-house but be prepared to hire at least a couple of employees dedicated to this function. You will also have to allocate resources to continuously train your payroll staff in use of accounting software and to keep up with the frequently shifting state and federal tax laws. Also if you are a growing company that is continuously adding new employees, teams and locations, managing payroll is going to be quite a challenge. Do you really want to get distracted from the core-functions of your business by administering payroll yourself?

Payroll service providers are experts in what they do and have economies of scale since they administer payroll for many other companies. More than likely, they will deliver payroll services to your company cheaper and more efficiently that what you can do yourself.

What Services Do Payroll Companies Provide?

Payroll companies provide various services. The following are the most common:

• Calculating pay checks for each employee

• Addressing tax obligations on a local, state, and federal level

• Printing and delivering checks

• Providing management reports

• Tracking employee benefits information

• Automatic check signatures

• Providing direct deposit

• Processing W-2 forms

• Processing 401k and mutual fund plans

• Addressing tax needs for your company and providing tax preparation

How to choose a Payroll Service?

Ask for quotes from several companies before making a final decision. An easy way to request quotes from multiple providers is to go to a B2B networking portal like TradeSeam. Keep the following in mind as you decide on the provider.

• Can they provide accurate payroll service without any mistakes in employee’s pay or providing tax information to the government? Ask for history of efficiency.

• An occasional mistake is acceptable but how quickly can they correct it. If the payroll service provider is overstretched, they may not have the resources to quickly provide the remedy.

• Is the payroll providers system and software compatible with your own operating systems? Would it be possible to transfer data to and from your business easily?

• Are the references flawless? Excellent customer service to business owners and its employees is important.

• How many clients is the payroll provider serving? Large number of clients may indicate a successful service but attrition in the past few months may indicate deteriorating quality. Does the provider have adequate resources to serve your business?

• Is the pricing competitive? Some companies may bait you with low basic fees and charge heavily for extras. Ask for an all inclusive package to compare prices.

Once you decide on a payroll provider, scrutinize the contract very carefully for any hidden fees or charges that may kick in after a few months of service.

Check the first few pay checks very carefully for any mistakes. It is better to uncover the issues early enough before they get compounded and more difficult to fix.

Hiring a payroll provider is an important decision for your business. It is tough to easily switch a payroll provider if you make the wrong decision. Make sure you adequately research all possibilities before making a final decision.

PostHeaderIcon Save on Company Time & Resources: the Numerous Benefits of Payroll Services

Have you ever wondered why some entrepreneurs choose to outsource payroll services rather than having a traditional payment management system? This is because of the numerous benefits provided by seeking outside help in this aspect of running the business.

How Outsourcing Payroll Services Works

Before delving deeper into the benefits of outsourcing your payroll services, here’s a quick look at how it works.

No matter how large or small your business is, you have a number of choices when it comes to the processing of your employees’ payroll. First, you can have one employee whose sole task is to handle the company’s payroll system.

Second, you can make use of an online payroll service or have a do-it-yourself payroll system. The problem is that for these two, you still would need to assign one individual to handle the payroll processing even if they are using an online payroll service.

Third, you can take advantage of an outside payroll services provider which is also called a payroll bureau.

A Quick Look at the Many Benefits of Outsourcing Your Payroll Services

So what are the benefits of outsourcing your payroll services?  Take a look at the following list:

1. It saves on company resources.

Just imagine how much money, time and company resources you will save if you will outsource your payroll services.  Rather employing one individual whose sole task is to handle the payroll processing, you can just outsource this part of running the business.

The manpower that should have gone to processing the payroll can instead be used to improve your company’s main operation.

2. Reduce your ‘headaches’ as a business owner.

Ask any small scale entrepreneur about the worst part of running the business and payroll is the usual answer.  This is due to the fact that doing payroll is tedious, stressful and sometimes downright painful.

Why would you want to deal with such headaches when you can spend your time growing the business while somebody else handles the payroll for you?

3. Avoid penalties and costs associated with upgrading the payroll software.

When you outsource payroll services, you can rest assured that you will not be slapped with penalties for late or incorrect filings.  Why?  Because the payroll bureau is made up of a team of experts at payroll processing so they know the rules.  There are even companies out there which shoulder the penalties if they do occur.

More importantly, you would not have to worry about the costs of upgrading to the latest payroll software ?the payroll bureau will take care of that for you.

4. The taxes are done right, and the employee’s paychecks are received on time.

Remember that employees are a company’s main asset.  Once they see that you have an excellent payroll system with the taxes done right and their salaries out in time ?whether via check or direct deposit-you’ll have a satisfied pool of workers under your employ.
