Payroll management can be a rather time-consuming and nerve-wracking task, and there are few business managers that will tell you that they are thrilled at the idea of doing payroll. For that reason small business owners may choose to turn to an outside source to get the job done.
A large business may not see having a payroll department as a hassle, but a small business may be hard pressed to be able to afford an in-house payroll department. If you have a business with fewer than 30 employees, then it’s probably in your best interest (both financially and personally) to go with and outsourced payroll services. One great way to do this is to figure it out yourself. Find out how much time your employees spend with payroll-related tasks, then figure out the costs of that and then compare that with the amount of the plans offered by various payroll services, including services like printing and distributing checks, and making tax documentation.
Another reason to outsource payroll is to save time. Think of the other more productive tasks that employees could be doing if they weren’t busy with payroll. You also won’t have to worry about training new employees if you have an in-house payroll service and outsourced payroll may prove to be more productive themselves. Speed is another factor to take into account. You want to choose an outsourced payroll service that can get you what you need with lightning speed. They know what they are doing, what you need, and have the technological resources to provide it. Also, an in-house payroll service may have to devote a large amount of time to learning tax laws and mandates on federal, local, and state levels.
Mistakes can be made with payroll, mistakes that will anger your employees and may have the government banging on your door. Choosing outsourced payroll services will mitigate the amount of mistakes that can be made, and if there is a mistake then you can seek recompense with the payroll service, something that you may not be able to do so easily with an in-house payroll department.
Security is another reason to go with an outsourced payroll service. As a business owner, you shouldn’t have to devote your time to checking on your employees and worrying about them trying to pull a fast one on you when it comes to hours spent solely devoted to payroll. Rather than keeping an eye out for suspect employees, it may be in your best interest to choose an outsourced payroll service where they have the technology that will alert them of an employee’s shady activities. Doing this allows you to focus all of your time and efforts on your business.
Even if you are a large business it may interest you to seek the services of an outsourced payroll services. At the end of the day you want your business, be it large or small, to be successful and grow, and the only way to do that is with time and attention, time and attention that shouldn’t be spent worrying about things that you shouldn’t have to worry about.

They know there are better ways to use their skills, talents and limited time.
But payroll is a vital function and it must be done on an ongoing, timely basis, and it must be done accurately. Most business owners know they could easily engage the assistance of a payroll services vendor, but they don’t have a clear understanding about the logistics and costs involved in having their payroll outsourced.
There are a number of reasons why businesses will turn to a service to handle their payroll, and while the various reasons are all important, they will vary considerably from one company to another. Below is a compilation of the most common reasons given for payroll outsourcing. They are not presented in any particular order, as the importance will depend upon the circumstances within a specific organization.
In most cases, large companies tend to have their own payroll departments, but the cost to have such an operation is prohibitive for smaller companies. Usually, a company that has fewer than 20 employees will find that outsourcing these duties to a payroll services vendor will end up saving them both money and numerous headaches.
Productivity is another key reason for many smaller to mid-size companies to turn to outside services to handle their payroll needs. By removing the burden of the payroll task from employees, they are able to turn their attention to more productive and profitable endeavors once the payroll services take over the work. In some cases, this even means that staff can be trimmed or reassigned.
Payroll simply must be accurate. Mistakes made when dealing with people’s wages and salaries can be detrimental and result in employee discontent. Even worse, there are penalties to deal with if mistakes are made in calculating the funds that must to paid to the government. As experts in the area, payroll services providers are much less likely to make serious errors and if they do, a company can seek out financial restitution from the outsourcing services provider.
Speed and flexibility are two other common reasons why many companies turn over their payroll to dedicated payroll services. The companies that specialize in handling payroll functions have considerable technical resources available and they can process even very complicated payroll tasks quickly and efficiently. These outsourced managed services also can easily handle temporary influxes of seasonal employees, which is often a challenge for an in-house payroll department.
A quality payroll services company will also have a great deal of expertise, as well as insights to bring to the table. They generally have experts on staff that know and keep up on all of the “ins” and “outs” of tax laws, as they relate to payroll issues. The training required to gain that level of expertise and working knowledge is often prohibitive for the payroll clerk of a small business.
As well, security and peace of mind are two other big benefits that a small business owner can enjoy if they decide to outsource to payroll services providers. Most small companies don’t have the resources to closely supervise the payroll process in order to deter abuse and possible shady activities. And, knowing that the payroll is being handled by professionals allows a business owner to relax and simply focus on business growth and opportunities.

That is because these two software packages are powerful and can be tailored to your exact needs and preferences. As a matter of fact, they even offer different software packages according to the complexities of your company. Then when you download the software it runs you through a series of questions to better understand what aspects of the software you will be utilizing. For example, the way a retail company would set up in QuickBooks is different than the way a wholesale company would go through the set up process. This precision tailoring is a plus.
On the other hand, because accounting is extremely complicated and tax laws are constantly changing, many people are confused on the terminology, concepts and categories used in accounting. I know many determined clients that have learned to use these accounting softwares, but I have never had a client that didn’t make a mistake, misuse or misunderstand the software. This is a huge problem. Many, many, many times I have had to go in and correct, or give guidance on accounting questions derived from trying to use these programs. It is highly advisable that if you are determined to do it yourself, that you pay the extra money and subscribe to the help desk that comes with the purchase of the software. This optional paid help that you can buy with the purchase of the product is another plus for buying from such large companies. The negative is the learning curve involved in mastering the software. After all it takes a college degree and extensive training and work experience to become a Certified Public Accountant.
So, if you can afford to hire a bookkeeper and an accountant, that is by far the best thing to do. But if you are a small business owner that cannot afford to hire a bookkeeper or external accounting firm, then the do-it-yourself accounting software is the way to go. Just keep in mind that just because you cannot afford to hire the help does not make you an accountant or tax expert. These functions are best left to professionals. If you are still determined to do it yourself, remember to sign up during your initial learning process to receive some type of help or training. Once your books are messed up it will cost you a lot more money to fix the problems created.
Fortunately, there are other alternatives. These other alternatives are in conjunction with an accountant. There are firms that provide simple software that comes with their services. These are well worth while to check into. One such accounting practice is Padgett Business Services and their software is called Padgett Connect. The benefits include its simplicity, customization, and free customer support. However, this software is not for everyone precisely because of its simplicity. Padgett offers a free trial of the software.
So do your homework and ask different accounting firms if they include any accounting software programs with their service. You can also do a Google search for accounting software to check out a variety of accounting software programs.

Small business information? If all the bills are in bf’s name but my company will there be issues?
My fiance and I had started a small business. The problem is we’re trying to keep it from his ex wife. So, we’re going to have the business in my name. The problem is the company card we use has his name on it. Is this going to be a problem when it comes to tax time? Anything we should do to keep it from being an issue with the tax man etc? Also, can I have him as a payroll employee even if we’re living in the same house? The name of the company isn’t either of our names…it’s fictional… what do we do in regards to that? I also need advice about accounting software. We buy instrument parts to have installed onto another instrument (to make it more appealing), what kind of company is that? Are there taxes on instruments that need to be paid (an accountant told me he wasn’t sure if there’s sales tax on instruments)? Thank you for all your help.
